HR People & Culture Coordinator

Seattle, Washington Operations - Human Resources Full Time

The People and Culture Coordinator is an integral part of the HR Department. From the recruitment and selection process to orientation, training, benefits administration, communication and overall employee relations, People and Culture is there for all employees. The People and Culture Coordinator is the first smiling face employees and applicants meet upon entering the Valorem Reply Office. This position assists with general employee inquiries, handles all incoming calls, provides employment verifications, processes a variety of reports, maintains all general employment files, and assists with a variety of employee events and initiatives in addition to other administrative duties. The People and Culture Coordinator handles every task with integrity and confidentiality. This highly visible role also provides support to the Valorem Reply HR team. Coordinates and provides administrative support to, Human Resources programs and processes related to front office reception, benefits administration, onboarding, HRIS, related record keeping/report generation, filing, and other assignments as needed under the immediate direction of the HR Manager.    

General Description & Responsibilities

  • Ensures clients and guests are welcomed with a smile and helpful experience.
  • Partners with the HR Manager to ensure policies, procedures, and reporting are in compliance.
  • Partners with HR Manager on program, policy, process development and implementation in areas such as compensation, benefits, performance management, new hire/on-boarding (including pre-employment), terminations, training and development.  Specifically:
  • Pre-Hire/New Hire On-boarding:
  • Processes, monitors and tracks all pre-hire information including but not limited to new hire baskets, receipt of signed offer letters and background checks.
  • Delivers new hire orientation to new hires includes processing of all new hire paperwork (I9 processing, signed offer received, review of all policies and processes for new hires, ensuring IT, Payroll and Resources have been notified).
  • Uploads all relevant new hire information into employee electronic files, as well as coordinating with hiring manager any additional employee related information the first week of employment.
  • Provides introduction to team on all new hires via Yammer (internal communication) to Valorem team.

  • Performance Management:
  • Partners with HR Manager on development of timeline, communication and delivery of performance management process (e.g. performance management reviews, recommendations for mid-year increase and/or promotions).
  • Ensures all performance reviews have been administered by tracking, monitoring and reporting on performance review status.
  • Ensures all electronic employee files are updated with signed performance reviews.
  • Conducts initial investigations, documents, and reports employee relation issues matters to HR Manager for final review and processing.

  • Training and Development:
  • In partnership with HR Manager assists with training of all managers and supervisors on performance management, sexual harassment, code of conduct, as well as processes and procedures pertaining to managing performance improvement plans, performance expectations, recruitment process, employee development process, exit process and any other pertinent information pertaining to employees.
  • Monitors, tracks and ensures all training and development plans have been appropriately documented in system, including updating skills matrix for Resource Management.

  • Terminations:
  • Ensures all resignation letters are uploaded into employee files.
  • Coordinates all exit interviews
  • Coordinates all final pay with payroll.
  • Schedules exit interview with HR Manager
  • Ensures all company property has been collected (e.g. computer, headsets, company badge, parking permit and any other related badges that are from customers) and returned to IT and Operations.
  • Provides summary of concerns on any exit interviews to HR Manager.

  • Immigration:
  • Track and ensure immigration processes are completed based on Immigration Attorney’s needs.
  • Responds to inquiries regarding policies, procedures, and programs that come up from employees.
  • Other Human Resources projects as assigned.
  • Placement Criteria & Requirements

  • A degree in Human Resources Management or related field is strongly preferred.
  • Certification as PHR or SPHR preferred
  • 2+ years’ experience in human resources
  • The ability to possess a high level of professionalism and integrity while maintaining the confidentiality of the office is essential.
  • Prior experience in technology firm setting highly preferred;
  • Highly proficient in MS Word, Power Point, and Excel: computer skills are strongly utilized in this position
